University Systems 

Graduate faculty and staff use a combination of CollegeNet, Banner, PeopleSoft and other university enterprise systems to manage admissions, academic and financial processes.

 

Graduate School Systems

The Graduate School is the formal steward of graduate application and admission systems, official documentation and data.  

Communicate with prospective students through PROSPECT to encourage them to apply to a USC graduate program.  

View submitted applications and updates for review, submit admission recommendations to the Graduate School, and run data reports through ADMIT.  

BDMS is the enterprise imaging system for all student documents. GRAD access allows departmental faculty and staff to view graduate student documents. 

DataWarehouse is the official data system associated with the university's Banner system.  Departmental faculty and staff may access the Graduate School's Admission folder to obtain application, admission, demographic and matriculation data from Fall 2013 forward. 

Login for Graduate School systems is behind the university’s DUO multifactor authentication system.  If accessing student records from off campus, please first connect to the university's Virtual Private Network (VPN).  Contact your department's technology support staff or the DoIT website for VPN information.

The Graduate School communicates with faculty and staff through two listservs: GRADDIR and PROGADM.  Most messaging goes out to both listservs; however access to GRADDIR is limited to Graduate Directors, Department Chairs and Deans.  


Request Access to Student Record Systems

Do you need to access student applications, financial information and data records in your work with graduate students?  Take the following steps to gain access to needed university systems.

Faculty and staff must have completed the FERPA Guide and quiz on the Registrar's website within the past twelve months before obtaining access to Graduate School and other university systems. Please enter moorehr@mailbox.sc.edu in the notification field at the end of the quiz if you will request access to Graduate School systems.

The Graduate Director will need to email crosse@mailbox.sc.edu to request access for departmental faculty and staff to systems controlled by the Graduate School (ADMIT, PROSPECT, BDMS, DataWarehouse Graduate Admissions folder and Graduate School listservs).   Please include name, USCID, email address, phone number and indicate which of our systems is being requested.  

If requesting ADMIT access, please indicate which user type is needed (Graduate Director, Faculty or Program Manager) and for which of your programs each user will need access.

Access to other university systems is not under the Graduate School's control.   

There are three systems maintained by the Registrar's Office that warrant consideration by Graduate Directors and Graduate Program Administrative Support Staff to access for managing Graduate Programs.  Each of these access points must be requested separately through the DAPS request portal.  Information regarding DAPS requests is available from the Registrar’s  Access University Systems webpage.  The three relevant systems and request types are:
1.  my.sc.edu to see student information and/or lift course restrictions. (Student/System Access/Banner)
2.  DegreeWorks for monitoring student progress to degree completion. (Student/System Access/DegreeWorks).  Requires advisor access to my.sc.edu.
3.  DataWarehouse for summary information on the status of students in graduate programs. (Student/Reports/Cognos Datawarehouse)
